SafeNight ("we," "our," "us") is committed to protecting the privacy of our users and the venues they represent. This Privacy Policy explains how we collect, use, store, and protect your information when you use our website, interactive demo, or platform.

1. Information We Collect

Information You Provide

• Account information: Name, email address, venue name, role/title
• Venue information: Venue name, address, capacity, zone layout, staff roster
• Incident data: Incident reports, photos, videos, and security footage URLs uploaded by your staff
• Payment information: Processed by our third-party payment provider — we do not store credit card numbers
• Communications: Emails or messages you send to support@safenightvenue.com

Information from POS Integration

When you authorize a POS connection (Toast, Square, or Clover), SafeNight receives read-only access to:

• Order data (tab openings/closings, item categories, timestamps, totals)
• Staff and labor data (who is on shift, roles, zone assignments)
• Table and zone configuration (floor plan layout)

We do not access payment card data (credit card numbers, CVVs, etc.). We do not modify or write to your POS system.

Information Collected Automatically

• Browser type and version
• Device type
• Pages visited and time spent
• IP address (for security and fraud prevention)

2. How We Use Your Information

3. Tab-Level Monitoring Disclosure

SafeNight analyzes POS order data at the tab level, not the individual patron level. We track drink volume, frequency, type, and timing per tab. Because multiple guests may share a single tab, SafeNight flags tabs that may warrant attention and recommends staff verification — we do not claim to track individual patron consumption.

4. Data Sharing

We do not sell your data. We share information only in these circumstances:

• At your direction: When you generate compliance reports or export data for your insurance provider, attorney, or regulator
• Service providers: Third-party services that help us operate (hosting, payment processing, email) — bound by confidentiality agreements
• Legal requirements: If required by law, subpoena, or court order
• Safety: To prevent fraud or protect the safety of our users

5. Data Retention

• Incident logs and compliance reports: Retained for 5 years (aligned with OSHA record-keeping requirements and typical statute of limitations for premises liability)
• POS data: Processed in real-time; raw POS data is not stored long-term — only the safety-relevant metrics derived from it
• Account data: Retained while your account is active and for 30 days after cancellation
• Payment records: Retained as required by tax and accounting regulations

6. Data Security

We implement industry-standard security measures to protect your data, including:

• Encryption in transit (TLS/HTTPS)
• Encryption at rest for stored data
• Role-based access controls
• Regular security reviews

No system is 100% secure. We take reasonable precautions but cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access: Request a copy of the data we hold about your venue
• Correction: Request correction of inaccurate data
• Deletion: Request deletion of your data (subject to legal retention requirements)
• Export: Request a portable copy of your data
• Opt-out: Opt out of non-essential communications

8. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act. SafeNight does not "sell" personal information as defined by the CCPA. You may request disclosure of the categories and specific pieces of personal information we have collected. Contact support@safenightvenue.com with the subject line "CCPA Request."

9. Cookies

Our website uses essential cookies to ensure functionality. We do not use third-party advertising cookies. Analytics cookies (if any) are used in aggregate and do not identify individual users.

10. Children's Privacy

SafeNight is not intended for use by individuals under 18. We do not knowingly collect data from minors.

11. Changes to This Policy

We may update this Privacy Policy as our platform evolves. Material changes will be communicated to active subscribers via email. The "Effective Date" at the top will always reflect the latest revision.
